Senior HR Benefits Operations Specialist

The Senior HR Benefits Operations Specialist manages the daily administration and implementation of employee benefits programs. This role ensures accurate, efficient, and compliant benefits delivery, oversees system management, vendor coordination, process improvements, and resolves complex issues. May also provide guidance to junior team members.

This position is based out of our Frisco,TX headquarters and operates on a hybrid schedule of three days onsite (Tuesday-Thursday) and two days remote (Monday and Friday).

Key Responsibilities:

  • Benefits Program Management & Administration
    • Lead the daily operational activities of all health and welfare (medical, dental, vision, life, disability).
    • Manage the execution of Annual Enrollment, including system configuration, communication review, vendor coordination, and employee support.
    • Ensure accurate and timely benefits enrollment, changes, terminations, and data exchange with third-party administrators (TPAs), carriers, and the HRIS platform.
    • Create or maintain documentation for day-to-day processes and audits.
    • Serve as the highest escalation point for complex employee benefits inquiries, eligibility disputes, and administrative challenges.
  • Systems, Data, and Compliance
    • Act as the Subject Matter Expert (SME) for the HRIS benefits module (e.g., Workday, ServiceNow & ADP) and benefits administration systems.
    • Perform system configuration, testing, and maintenance to support benefits plan changes and upgrades.
    • Ensure strict compliance with all relevant regulations, including ERISA, COBRA, HIPAA, ACA, FMLA, and IRS guidelines.
    • Prepare and ensure timely filing of mandatory reports (e.g., ACA reporting).
    • Conduct regular internal and external benefits audits to ensure data integrity and compliance.
  • Vendor Management and Financial Oversight
    • Lead operational relationships with external benefits vendors, brokers, and consultants.
    • Monitor vendor performance, service level agreements (SLAs), and issue resolution processes.
    • Participate in benefits plan analysis by providing operational data and insights to support strategic decisions.
  • Process Improvement and Leadership
    • Identify, recommend, and implement improvements to benefits processes, systems, and communications to enhance efficiency and the employee experience.
    • Develop and maintain up-to-date documentation for all benefits operational procedures.
    • Mentor and train junior HR operations staff on benefits administration processes and best practices (if applicable).
    • Lead special benefits projects or initiatives as assigned.

Total Rewards:
  • Salary Range: $76,400 - $99,000
  • Actual placement within the compensation range may vary depending on experience, skills, and other factors
  • Benefits, subject to election and eligibility: Medical, Dental, Vision, Disability, Paid Time Off (including paid parental leave, vacation, and sick time), 401k with company match, Tuition Reimbursement, and Mileage Reimbursement
  • Annual bonus based on performance and eligibility

Requirements:

Required Qualifications

  • Experience: 5 years of progressive experience in benefits administration and operations, with at least 2 years in a lead, senior, or specialized technical role.
  • Technical Skills: Deep expertise in managing benefits within a major HRIS platform (e.g., Workday, ServiceNow & ADP) and administering benefits through third-party platforms and vendors (e.g., bswift, Businessolver).
  • Compliance: Comprehensive knowledge of federal and state benefits laws (ERISA, HIPAA, COBRA, ACA).
  • Analytical Skills: Strong ability to analyze complex data, manage large data sets, and identify root causes of benefits issues.

Preferred Qualifications

  • Education: Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field.
  • Experience with multi-state benefits administration.
  • Proven track record of leading an Annual Enrollment cycle from beginning to end.
  • Demonstrate advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams), with advanced capabilities in Excel such as creating pivot tables, utilizing VLOOKUP, and developing complex formulas.
  • Analytical and problem-solving skills, especially as they relate to benefits data and process optimization.
