Job Overview:

Senior Customer Service Representative

In this role, you will support operational, financial, and administrative functions across the organization. You will be responsible for ensuring accurate invoices, coordinating effectively with vendors and internal teams, and supporting smooth office and onboarding processes. You are detail-oriented, dependable, and comfortable managing multiple priorities in a fast-paced environment.

Shift and Schedule:

  • Full-time
  • Monday- Friday
  • 7:00AM until finish

Responsibilities

Financial Operations & Compliance

  • Process and reconcile vendor invoices, ensuring accuracy through proper documentation and system entry.
  • Audit transactions to prevent duplicate or incorrect payments and resolve discrepancies related to pricing, quantities, or approvals.
  • Maintain organized financial records, proof-of-delivery documentation, and supporting files.
  • Support month-end close activities, audits, and compliance reporting in coordination with Finance.
  • Support with CAPEX administrative reporting

Stakeholder & Account Management

  • Serve as a primary point of contact for vendor, customer, and internal operational inquiries.
  • Communicate with vendors to resolve billing or supply issues and coordinate returns as needed.
  • Assist with customer and account setup and maintenance, including cash and charge accounts.

Office Administration & Employee Onboarding

  • Maintain general office operations, including mail distribution, office supplies, uniforms, badges, and business materials.
  • Coordinate employee onboarding activities such as orientation support, I-9 verification, badge creation, and uniform distribution.
  • Maintain accurate employee records, personnel files, attendance, and vacation tracking.
  • Support employee programs and administrative training needs as required.

Reporting, Projects & Asset Support

  • Prepare routine operational and financial reports and identify discrepancies for resolution.
  • Assist with purchase order creation and tracking for approved projects.
  • Maintain documentation related to capital projects, receipts, vendor payments, and fixed assets.

Communication & Cross-Functional Support

  • Maintain a high volume of professional phone and email communications related to customer service, invoicing, and operations.
  • Collaborate closely with Operations, Finance, Sales, and leadership to support daily business needs.
  • Participate in meetings and provide timely updates to stakeholders.

Total Rewards:
  • $30-$35 per hour
  • Benefits, subject to eligibility: Medical, Dental, Vision, Disability, Paid Time Off (including vacation and sick time), 401k with company match, Tuition Reimbursement, and Mileage Reimbursement

Requirements:
  • 2+ years of experience in customer service, office administration or warehouse/distribution.
  • 2+ year experience with invoicing or accounts payable processes (SAP preferred), payroll certification preferred (A plus)
  • 2+ years working knowledge of Microsoft Word and Excel
  • Strong organizational, communication, and problem-solving skills
